This Privacy Notice explains what personal information LAFF collects, why we collect it, how we use it, and the rights available to you. It applies to all data we process under UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Sources

We collect personal information when you:

  • volunteer, campaign, make a donation, or enquire about an event;
  • sign up to receive updates on our activities;
  • contact us online, by email, phone, SMS, post, or social media;
  • post on our social media pages (subject to the privacy settings and policies of those platforms).

We may also receive information from third-party fundraising platforms such as JustGiving, Givey or Raisely but only where you have authorised them to share your data with us. We recommend reading those platforms’ own privacy policies before providing your information.

Types of Information

Depending on your relationship with LAFF, we may hold:

  • name, address, email address, and telephone numbers;
  • donation history and future giving intentions;
  • Gift Aid eligibility status;
  • medical information, passport details, and emergency contact details (where you are volunteering internationally or taking part in an event);
  • interests relevant to our work, where you have chosen to share these.

3. Legal Basis for Processing

We process your personal information on one or more of the following legal bases:

  • to administer your donations, keep you informed about events you have signed up for, and communicate the impact of your support. (Legitimate interests).
  • to send you news updates, fundraising appeals, or marketing communications by email or SMS. You may withdraw consent at any time. (Consent)
  • for example, Gift Aid record-keeping as required by HMRC. (Legal obligation)

4. How We Use Your Information

We use your personal information to:

  • communicate with you before and after events you have registered for;
  • administer your donations, including Gift Aid processing;
  • keep you informed about how your support is making a difference where you have requested this communication;
  • Inform you of our future fundraising efforts where you have requested this communication

With your consent, we may also send you news updates and new fundraising appeals by email. Consent is considered valid for three years unless you withdraw it earlier.

Where you make a significant donation, we may carry out publicly available background research to verify the source of funds, in line with our obligations as a charity.

5. Sharing Your Information

LAFF will never sell or exchange your personal information with third parties for marketing purposes.

We do not use external organisations to process personal data for individual donors. However, as a small volunteer-led charity, we may work with a professional fundraising agencies which collect trust and foundation information on our behalf. This arrangement does not affect individual donors, and LAFF remains the data controller and retains responsibility for your data.

International Transfers

We use the Brevo mailing system when we are sending emails to large numbers of users. This includes sending out our quarterly newsletter, volunteering opportunities mailings and the mailings for fundraising campaigns.

If you register an interest in becoming a volunteer, sign up for our newsletter or opt in to ongoing communications through a fundraising campaign, your mailing details will be held on Brevo’s servers, primarily based in the EU. Brevo works to ensure all such transfers use a lawful data transfer mechanism in compliance with UK GDPR. For further details, please refer to Brevo’s privacy policy at brevo.com.

You can unsubscribe and remove yourself from any of these mailings instantly by clicking the unsubscribe link at the bottom of all our mailings.

6. How Long We Keep Your Information

We retain personal information for as long as necessary for the relevant purpose:

  • Donation records are kept for up to six years to meet HMRC and accounting obligations. Records for regular supporters may be retained for longer for tracking purposes.
  • If you withdraw consent or ask to be removed from our mailing lists, we will retain your contact details on a suppression list to ensure we do not contact you again in future.
  • Legacy gift information is retained for as long as necessary to administer the gift and maintain appropriate communication with the families of donors.
  • Bank details for cancelled direct debits are not retained.

7. How We Protect Your Information

LAFF implements appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, or disclosure. Access to personal data is limited to those who need it to carry out their responsibilities.

8. Your Rights

Under UK GDPR, you have the right to:

  • access the personal information we hold about you;
  • request correction of inaccurate or incomplete data;
  • request erasure of your data in certain circumstances;
  • restrict or object to the processing of your data;
  • withdraw consent at any time (without affecting the lawfulness of processing before withdrawal);
  • lodge a complaint with the Information Commissioner’s Office (ICO) if you are not satisfied with how we have handled your data.
